Quote Stages are customizable steps that you can add to your Quotes workflow. For example, if you want to make sure that the Quote is approved by your sales team before being sent to a Customer, you can create a step called "Sales Approval" that the Quote must pass through before being sent.
Stages are customizable steps, as described above. You can create any Stages you wish depending on your company's workflow for Quote reviews, approvals, etc. Stages are implemented and changed by the Users. This article is about Stages.
Quote Status is determined by Steelhead to reflect how a Quote has progressed in drafting, Customer submittal and acceptance, etc. Status is updated by the app. Some statuses may be combined for more information.
Possible system-determined Quote Statuses include:
- Created (Initial Quote state, no action has been taken)
- Needs Revision (Some change is required by User)
- Expired (Validity date has passed)
- Email Sent (Has been sent to the Customer)
- Email Opened (Customer has opened the link to the Quote PDF in Customer Portal)
- Active (The meaning varies based on other context)
- Signed (Customer has signified signed acceptance; set by User)
- Order Received (Customer has placed an order associated with the Quote)
- Needs Reminder (The follow-up date, set by User, has been reached)
- Inactive (Superseded; Quote is no longer in use)
How to Set up
Quoting Stages can be configured from the Quotes page. Click on Settings in the sidebar of the Quotes page to view and edit Stages.
To set up desired Stages, perform the following:
Click EDIT.
Edit the Stages in the "Configure Quote Stages" dialog.
- Make sure Enable Staged Quoting is toggled on.
- Click Add Stage to add an empty Stage.
- Manipulate a Stage:
- Click the plus icon to add a sub Stage.
- Drag and drop with cursor over the hand icon to move the Stage up or down.
- Click the minus icon to remove the Stage.
- Name and give the Stage a description.
- Change the label color.
Close the dialog.
- Click Cancel to clear all changes made.
- Click Update Current Revision to save changes to the current version, which will apply to all Quotes with this version of Quote Stages.
- Click Create New Revision to create a new version of Stages that will apply to all future Quotes.
Turn Off Quote Stages
If custom Quote Stages will no longer be used, and "Draft" and "Active" Stages are to be used instead, do the following:
1. Edit Stages.
2. Turn "Enable Staged Quoting" off.
How to use
- Click the Move Stage/Request Changes button to switch the Stages of a Quote. Click the Change Active Variant button to switch the sub Stage.
Alternatively, click on the Stage you'd like to move to, within the visual stepper:
- Optionally, add a message when switching Stages. This will show up in the Quote history, as well as on the Quote until it is moved to another Stage.
Select a previous Stage to request changes to the Quote.
