    Invoicing Dashboard Layout

    Sales Orders appear on the Invoicing dashboard in the left-hand column as soon as parts are added.

    Completed Invoices appear in the "Invoices" column. In this column you can:

    • Edit & finalize the Invoice.
    • View PDF.
    • Email it to a customer.
    • Verify that it's been recorded in accounting software.
    • Void the invoice if it hasn't been finalized/synced.

    If you are not able invoice a part, it will appear under the "Cannot Invoice Parts" tab and will state how many parts in the sales order cannot be invoiced:

    Sales Order Acknowledgements/Invoice PDF Previews:

    Our invoice preview is just for you to get an idea of what the invoice could look like at invoicing, it will not actually create a real invoice in Steelhead nor be in the invoicing dashboard.

    • Unless customized, your Invoice PDF preview may not appear the same as your actual invoice template.
    • Invoice preview shows an approximate price for the final Invoice (pre-tax).
      • This is useful because some users of Steelhead prefer to send a Sales Order to customers before invoicing.

    Add Files To PDF:

    • Users may add files to Sales Order acknowledgements.
    • When additional files besides the generated Sales Order acknowledgement pdf are needed to be sent to a customer, the attach files feature will allow you to do so.
      1. Create a Sales Order Acknowledgement.
      2. Click the "Attach Files" button.
      3. Select existing files from the Sales Order or Work Order, or upload new files.
      4. Click "Save".
      5. Send the Sales Order Acknowledgement email.

    Discounts on Invoices:

    Steelhead offers the ability to apply net discounts on invoices.

    1. Update a term to have a discount.
    2. Create an invoice with the terms.
    3. Review the payment window.
    4. You will see a coupon applied for the percentage off if the discount isn’t expired.

    Cannot Invoice Parts:

    Here is a graphic that explains some steps to take for resolving these invoicing issues:

    Why parts cannot be invoiced?
    There are no open line items for this sales order part and some parts are at invoicing node.

    Things to check:

    1. Check related invoices on part accounts. Investigate if all are invoiced.
    2. Check invoices associated with sales order line items. Investigate if part was invoiced without proper association.

    Actions to take:

    1. If sales order line item was closed incorrectly, go to sales order page and reopen line item.
    2. If invoicing is completed, go to work order and complete parts. This moves parts out of invoicing. Make sure part accounts are marked "done invoicing".

    Searching and Filtering Sales Orders

    You can find any active Sales Order or Work order, regardless of status, in the Invoicing Dashboard. Invoices may be generated for any parts, regardless of whether they are ready to be invoiced or not. See Creating Invoices.

    You can use the "status" drop-down to filter results by their Invoicing status (Fully Invoiced, Ready to Invoice, Partially Invoiced, Not Invoiced, and Completed).

    Invoice Progress Tips:

    You can view all invoices sent to a specific customer from the Customers page.

    To learn which invoices are completed on a more detailed level, check out the progress indicators on invoicing:

    • This includes an information dialog and tooltips.

    • All this shows clearly where parts are in relation to invoicing.

    • The tooltips give some explanation for terms:

      • Percent Ready to Invoice: ($”At/Past Invoicing” - $Invoiced) / $Total Sales Order
      • Percent Invoiced or Closed: $Invoiced / $Total Sales Order
      • Parts between receiving & invoicing/Total Expected
      • Parts at or past invoicing process node/Total Expected
      • If no invoicing node, = completed parts

    You can press the drop-down arrow next to the sales orders to see their descriptions. These include a switch to toggle between Sales Order view and Part view.

    • There is also a Domain setting to include Part Number name on Invoice item descriptions.
    • When setting is enabled, the Part Number name is added to the description on Invoice edit/creation and on the completed Invoice.

    Mark Received batched on Invoices

    • Received batches can be shown in the descriptions for Invoice line items:
      1. Turn on the domain settings called “config Include Batch” and “Invoice By Default”.
      2. Create an Invoice for a sales order line item that has part numbers with batch associations.
      3. This way, if there are batch associations they will be included.
      4. You should still be able to enter view or edit mode by clicking on the grey text.

    Viewing Completed Invoices from the Invoicing Dashboard

    Steelhead keeps records of all past Invoices in case they are needed later on. To view these, click the "View All Invoices" button on the top right of the screen. From this page, you can search for invoices by ID, Date, and other criteria.

    Export CSV Button

    The “EXPORT CSV” button gives users the ability to to export their data in a text-based "comma separated values" format. Using this export CSV button you can create a CSV file for you to print off, save somewhere, or use how you wish.

    1. Go to "View All Invoices".
    2. Apply filters if necessary.
    3. Click the "EXPORT CSV" button.
    4. Select date range.
    5. Click button to download data table.
    6. Table includes Customer, User, Supervisor, WO, Station, Start and End times, Duration, Part Count, and Process columns.

    Whether or not this is visible can be controlled with the "Show CSV Export on Invoice Page" Domain Setting:

    When the "Edit Invoice CSV Power Tool" setting is enabled, an Invoice power tool button becomes available on the invoicing page. It must be edited by someone knowledgeable of low code to download desired invoices.
