    Article summary

    Create a Packing Slip

    When parts in a Work Order are moved to the Shipping Process Node, they will automatically appear on the Shipping Dashboard.

    To create a Packing Slip and Shipper for these parts and move them through the shipping process:

    1. Select the Work Order with completed parts that you'd like to create a Packing Slip for.
    2. Click the "Create Packing Slip" button.
      1. Enter information in the "Ship Via" box. This is the method you will use to get the parts to the Customer (FedEx, UPS, In-House Delivery, Customer Pickup, etc.)
      2. Enter a tracking number to share with the Customer, if applicable.
      3. Enter the date of shipping.
      4. Enter the "Bill To:" information for the Customer.
        • If the Customer is already in the system, this will populate on its own.
        • If the address is not shown or is incorrect, you can create a new one.
      5. Enter the "Ship To:" information for the Customer if you are shipping the parts.
        • Again, if the Customer is already in the system, this will populate on its own.
        • Again, if the address is not shown or is incorrect, you can create a new one.
        • You do not need to enter shipping information if the Customer is picking up the parts.
      6. Enter a description for the Packing Slip, if desired.

    Once a Shipper is created, use the Shipping Dashboard to move parts!

    If you use the "Move Multiple Parts" function on the Work Order screen, you risk losing the ability to complete your Packing Slip or Bill of Lading. You can prevent this by only moving parts on the Shipping Dashboard once they enter the Shipping node.

    When in shipping and you need to transfer you have to select the box next to the Part Number and go down and choose "move multiple parts" and then it will let you transfer it.

    Default Shipping Methods for Customers:

    To apply a default shipping method to a Customer:

    1. Select the pencil icon in the top left section of a Customer profile page.
    2. Here you can see options to either select an existing ship method or create a new one.
    3. After saving, you will be able to see that setting change in the Customer info section.

    Populate Ship Via in Quickbooks Desktop:

    There have been cases where this field must be populated manually. To do this:

    1. In QuickBooks, choose the “Lists” drop down menu from the top of the screen.
    2. Choose the “Customers and Vendor Profile Lists” option.
    3. Select the “Ship Via” list.
    4. Enter all of your shipping methods that appear on your Steelhead invoices into this list. These options should match what you are entering on your Steelhead invoices.
      • If the “ship via” method entered on your Steelhead invoice is too long, you can adjust it by clicking on the error icon on the Steelhead invoicing page and changing it to an acceptable length.
      • If the “Ship Via” field matches an option that exists on the “Ship Via” list in QB, the sync should work.
    5. Invoices that have already synced are already recorded in QB, so there is no reason to enter 3 versions of “Customer Pickup”.
    6. Finally – the character length limit in QB desktop is 15 characters.
      • So, you will also want to make sure that the options in SH are ones that meet this constraint.
      • If there is an invoice in SH that has failed to sync that has a ship via method longer than 15 characters, this can be adjusted by clicking on the sync failure icon and entering in a new ship via method.

    You can create an invoice at any point of the process, so you never need a Packing Slip to invoice.

    Enable Invoice Creation from Packing Slips Page

    Invoices can be created directly from the Shipping Dashboard using Packing Slips or Bills of Lading.


    Creating invoices from Packing Slips is enabled in Domain Settings.

    1. From the Domain page, scroll down to the Invoices section and find the option labelled "Create Invoices from Packing Slips." Turn this option on.

    1. With this option enabled, the "Create Invoice" icon appears on the "All Packing Slips" page in the Shipping dashboard.

    Enable Invoice Creation from the Shipping Dashboard

    Creating invoices from Packing Slips or Bills of Lading directly from the Shipping Dashboard is also enabled in Domain Settings.

    1. From the Domain page, scroll down to the Invoices section and find the option labelled "Create Invoices from Packing Slips." Turn this option on.

    1. With this option enabled, the "Create Invoice" icon appears on the Shipping Dashboard under the "Packing Slip Signed" and "Bill of Lading Signed" cards.

    Create an Invoice from a Packing Slip or Bill of Lading

    1. Make sure that both Domain Settings described above are enabled.
    2. Find the Packing Slip or Bill of Lading to create an invoice from.
      • Alternatively, you can go to the "All Packing Slips" page to create invoices. This feature is not currently available for the "All Bills of Lading" page.
    3. Click the "Complete Shipping and Create Invoice" button.
    4. A prompt will pop up to make sure you want to complete shipping and create an invoice (if created from Bill of Lading). Click "Yes" to proceed.

    Cancelling Invoice Creation Does Not Cancel Shipping Completion

    If you click "Yes" to the complete shipping prompt, the shipping will be completed whether an invoice is created or not. If you cancel the invoice creation, you will need to go to the Invoicing Dashboard to re-create the invoice.

    1. Complete the [invoice creation] dialog as you normally would.
    Invoice for generic line items:

    Users are able to invoice for generic line items when invoicing from a Packing Slip.

    • Invoice for Packing Slip on Invoicing or Shipping dashboard.
    • Any generic (i.e. not tied to a part being processed) line items from the Sales Order will appear when you create an invoice from a Packing Slip, and every line has a checkbox on the left to select which lines to invoice for.
    • Leaving a line out allows it to be invoiced in the future, such as on other Packing Slips related to that Sales Order.

    Packing Slip View on the Invoicing Dashboard

    The Invoicing Dashboard offers a "Packing Slip" view in addition to the standard "Sales Orders" view. Turn this view on with these steps:

    1. Click the "Packing Slips" switch above the Sales Orders card on the Invoicing Dashboard.
    2. Click the "Sales Orders" link to toggle back.

    • Packing slips cannot be invoiced for when there are no open Sales Order line items.
    • Unpriced parts will only appear if other lines on the Packing Slip are open.

    Completed Work Orders Cannot Be Invoiced

    If a Work Order is marked as "Completed," an invoice cannot be generated. The Work Order must be marked as un-completed to be invoiced.

    Packing Slip Line Info:

    In order to have your Packing Slip lines and invoice lines match, you need to make sure that the parts are unracked or unseparated before they enter shipping.

    • If they are still on a rack, the racked parts will be on a separate line on the Packing Slips, since Packing Slips pull their information from parts.
    • The invoices pull their information from the sales order lines, so they will not match up if parts are separated.

    The quantity would not match up if the parts are separate if you create the invoice from the Packing Slip since they pull their information from different locations.

    • In order for them to match up, the parts would need to be unracked/unseparated before they enter shipping.

    Add an Image to a Packing Slip

    1. On the Packing Slip Draft, click the "Add an Image" button.
    2. Drag and drop or upload the image you want to add.

    Mobile Friendly

    If you are using a phone or tablet, you can take a picture of the shipment and add it to the Packing Slip for the customer. Just take the picture and upload the file!

    Combine Multiple Packing Slips

    In some cases, you may wish to combine multiple shipments into one for a delivery or pickup. To combine multiple Packing Slips into a single Master Packing Slip:

    1. Go into the Shipping Dashboard.
    2. Check the boxes next to the Packing Slips you want to combine in the "Packing Slip Drafts" card.
    3. Click the "Combine" button.
    4. Make any adjustments needed to the new Master Packing Slip.
    5. Click "Save".

    Finalize Packing Slips

    When your Packing Slip is ready to be finalized, click the "Mark as Finalized" button (the little truck) for the Packing Slip.

    NOTE:

    "Finalized" slips are ready to be signed, and that they are not "Completed" yet. See Complete Shipping and Move Parts to Invoicing.

    Sign Packing Slips

    You may sign Packing Slips or Bills of Lading by clicking the "Sign" button on the right of the finalized Packing Slip. You can also send the Packing Slips to the customer via email after signing, if desired.

    Complete Shipping and Move Parts to Invoicing

    When a Packing Slip or Bill of Lading is signed, the Shipper is ready to complete.

    1. Click the "Complete Shipping and Move Parts" button on the shipper you want to complete. This will be either on the "Packing Slip Signed" or "Bill of Lading Signed" tile.
    2. The completed shipper will automatically remove itself from the dashboard. You can view finished Packing Slips by clicking "Finished Packing Slips" at the top of the dashboard.

    Create a Bill of Lading

    1. On the "Packing Slip Drafts" tile, check the boxes for the shipper(s) for which you'd like to create a Bill of Lading.
    2. Click the "Create Bill of Lading" button.
    3. On the "Create Bill of Lading" screen, enter in the needed information. When finished, click "Save."

    Sign a Bill of Lading

    When a shipment is picked up by a carrier, they may need to sign the Bill of Lading.

    1. On the Bills of Lading tile, click the "Sign Bill of Lading" button.
    2. Have the carrier sign on the computer, tablet, or phone.
    3. Click "Submit Signatures."
    4. The bill of lading will now move to the "Bill of Lading Signed" tile.

    Shipping - Trucking Dashboard

    The "Truck Mode" is an option on the Shipping Dashboard to limit what is displayed. The Truck Mode hides the "Create" options for Packing Slips and Bills of Lading. Only Packing Slips or bills of lading that are ready to sign or have been signed appear in Truck Mode.

    Devices that are commonly used for signing Packing Slips or bills of lading can save Truck Mode filters. Then, when the Shipping Dashbaord is accessed on the device, the Truck Mode will be the default view for that device.

    To toggle Truck Mode on:

    1. Navigate to the Shipping Dashboard.
    2. Click the "Trucking Dashboard" tab on the top right of the screen.
    3. Set filters, as desired.
    4. Save any filters for future use, as desired.
    5. Click the truck icon again to toggle off.
