Syncing Steelhead and QuickBooks Desktop

Data from QuickBooks Desktop (QBD) and Steelhead sync when the account linking both services is logged in and running the Web Connector.
The platforms are synced according to the integration configurations in the Steelhead platform.
By default, a sync occurs every 10 minutes. This can be adjusted in the integration settings.

Export Data from Steelhead to QBD
If the Web Connector is successfully set up and running, data from Steelhead will export to QBD when the play button is clicked.
- If it is a new object in Steelhead, it will create a new object in QBD and make a connection between the two.
- If anything goes wrong in the exporting process, errors will appear.
Import Data from QBD to Steelhead
If objects are created in QBD, they may be importable to Steelhead. To see which objects are importable, open the Imports page and view the object dropdown.
In order for an object to import, a Read must be performed on the object. A Read happens every time a Steelhead object play button is clicked, as well as when the play button on the Integrations page is clicked. Once an object is read and appears in the Importable Integration Objects table, it may be imported to Steelhead.
You may bulk import objects or import them individually. You may also ignore an object, if an import is not desired.
Syncing Part Numbers
If you create a Part Number in QBD, it can be imported to Steelhead
- A read and import must be performed
- The Part Number must be included in the 'Items into Part Numbers Filter' integration setting
If you create a Part Number in Steelhead, it can be exported to QBD
- The Part Number will be created in QBD once the part is Invoiced for in Steelhead and synced to QBD
- If you create a Part Number in both Steelhead and QBD, they can be connected
- Once the parts are Invoiced for, it will attempt to find its QBD counterpart
- Invoices need to be finalized before they attempt to sync over
- Click the play button next to an Invoice to finalize and sync it
- Click the double play button at the top of the invoicing dashboard to finalize and sync all listed Invoices that have not been done yet
You may want a Part Number name and/or description on an Invoice to sync over to QBD.
To do so:
Go to Domain tile.
Turn on the setting called 'Include Part Number Name On Invoice By Default' and/or 'Include Part Number Description On Invoice By Default.'
Refresh your browser.
If applicable, the Part Number name and/or description will auto-populate in the Invoice line description.
Now, these details will appear in QBD when the Invoice is synced.
Syncing Classes
"Classes" in Quickbooks Desktop may be matched by "Custom Dimensions" in Steelhead for integration. To do so:
- Create a Dimension of Name "class" and Type "custom" (exact match only).
- Create a Dimension custom value which exactly matches the name of the Class in Quickbooks Desktop.
- When creating Bills and Invoices in Steelhead, select the Dimension custom values.
- Sync Bills/Invoices to Quickbooks Desktop.
Rejected Invoices
There are errors and blocks for instances where Steelhead Invoices are not valid to export to QBD.
Errors may include:
- The Invoice total is less than 0
- The quantity is less than or equal to 0
- There are no line items on Invoice
QBD will accept a negative or 0 Invoice rate.
