Specs and Certs Troubleshooting

Useful Cert Template Practices:
- If needed, move Parts onto different Work Orders to get the Part Number to show as you would like.
- You can add comments before creating the Cert and they will appear on the PDF.
- When doing so, don't forget to click SAVE AND FINALIZE at the bottom.
- The only way to set your quantity on a Certification to something other than the full Part amount of an order is to split your Parts into Groups.
- If you do this, you can create a Cert for the Part Group, which would include the Part Group quantity.
- Cert PDFs can also use the Part Number Work Order description and the Sales Order shipping method.
Templates not Prompted in Cert Creation
If you are not shown any Cert Template options when creating a Cert, here are some things to try:
It's possible that no Cert template has been designated. If you click the check mark icon above the Part Group column it will allow you to click next, and therefore select a Cert template.
- However, if no Spec measurements were recorded on this Work Order, information may be missing.
Quantity-Sensitive Certs
If you would like to make a Cert for an altered quantity from a Purchase Order, here are some things you could try:
- Subtract the quantity of rejected pieces from the Line Item, and create a new Line with the same Part Number, marked with a notation that says something like "Rejected."
- If you get an error message that says "you need “exit” parts transfer permissions to exit parts!", navigate to the User Permissions menu and select "Write: Parts Transfer of Type EXIT." Refresh the browser.
Veto/Cancel Certs
If you would like to disable a Certification, click the down arrow archive icon in the far right of the Certs list.
Specification Loss
If one of your Specs should be on a Part Number but isn't, here are some things you could try:
- It is possible the Spec was not added correctly. You can search and apply it from the Specs Dashboard.

"Not all Parts are Present" Error message
- This warning refers to the collection of a Spec Field measurement for a Batch of Parts.
- The feature allows you to measure and “certify” a processing requirement at a Station (e.g., the oven was at 500 degrees).
- This error message warns that the measurement for the Parts may not be valid because not all the Parts were present at the Station, at the time of data collection.
Empty or blank Certs
If your Certs are turning out blank, here are some things to try:
- Take a look at the Spec results in the Work Order; it's possible that there are no Spec measurements that were recorded, so the PDFs for these Certs aren't pulling in any information.
Once Certs are created with your Part quantity, order number, and Purchase Order details, and the Specs are taken, it is locked in and can't be edited. The only way to get that information to change would be to create a new Work Order or move all the Parts back to the beginning and start over.
As long as you do not restart any Timers, moving Parts back on a Work Order won't change the Margins. If you remove Part quantity, Margins will still use the originally recorded time for calculations.
- When the Spec name is changed, it will still keep the Process name on the top but will just list the new name below with the names of the other Specs.
- To edit a Spec Parameter, first find the original Spec, choose the Spec Field, and then the Spec Parameter desired, here you can choose defails like min/max and Parameter name.
- To make a new Spec measurement, follow these steps:
- Go to the relevant Work Order.
- Scroll down to to "Spec Results".
- Select the part group and the desired Spec.
- If wished you can archive the old measurement with the button on the far right.
- Then use the red button that says "collect additional" to create a new measurement.
When you do not see the minimum/maximum value listed, that means it does not have it set up on the Spec Parameter, so you could go into that Spec and add min/max values.
Access Product Field by Changing Quote Stage
If you put in a new Quote but forgot to add the Cert to the Products Field, here are some things to try:
- If your Quote is set to "active" and you have already sent the Quote, Steelhead does not want to let you make changes to pricing.
- Go to the top page of the Quote and use the three dots button to either:
- Copy the Quote.
- Revert from Active.
- This will move it back a stage and it will allow you to add Cert in the product Field.
If Specs are set up correctly, they can block a Part from moving forward when there is not a passing measurement. To set this up:
- Edit or Create a Spec Field Parameter.
- Check the “Failure Requires Resolution” to require resolutions for all failing measurements.
- When you move parts on a Workboard, you may find them blocked because they have failing Spec Field Param(s). To solve this, you can:
- Resolve the failing measurement with a comment.
- Archive the failing measurement and enter in a passing measurement.
- To resolve with a comment, open the failing Spec and click the icon to add a resolution comment.
- This can be done directly from the Workboard or from the Parts Failing Specs section of the Quality Management dashboard.
- Use Work Parts or Work Racks to find the failing measurement needing a resolution.
- On the Quality Management tile you will see the amount of failed params marked in red.
- The wand in the Parts Failing Specs section of the QM dashboard allows for failing measurement(s) on multiple Parts on a Rack to be mass resolved.
