Workflow of Accounts Payable in Steelhead Accounting
The Accounts Payable system in the Accounting module is the place to enter bills due to be paid to your vendors, enter payments made, and connect those payments to inventory items received and stored.
Here's how to get started:
1. From the Purchase Orders Dashboard, filter by Issued and click the Receive Bill icon next to the desired Item.
2. Fill in the requested information and click CREATE BILL.
3. Click Bills to see your entry among other bills that have been recorded.
4. Click the Sync icon to send any Bills to Accounts Payable.
The red notification dot lets you know whether the Bill has yet to be sent to A/P.
5. Double check your Accounts and click SAVE.
6. Click A/P to jump into Accounts Payable.
7. Select a Bill to view it.
8. Here you can quickly check your three-way match between the Billed items, the Purchase Order (PO), and the Received items.
You can see here that we haven't received the items we ordered yet (zero lbs. have been received). Click on the PO#.
9. From the Purchase Order page, click RECEIVE next to the items you are receiving.
10. When you fill in the Received Quantity, the Journal Entry will automatically populate. Select a Date Received, add in any Notes or other required information, then click SAVE.
11. Scrolling down to the Bills section, click the Bill Number.
12. Here you can verify your three-way match. We ordered 50 pounds of Shadow Black, were billed for 50 pounds, and now Received 50 pounds.
13. Within the Accounting dashboard, open A/P and click MAKE PAYMENT next to the Bill you are paying.
The rows highlighted in red are overdue.
14. Double check the information here, add in any required information, and click SAVE.
15. Once the transaction hits your bank, open the Bank Account that you are making the payment from.
16. Click the icon to match your entry to the correct Bank Transaction. Click MATCH.
17. From here you can follow the transaction all the way back to its origin if you need to look up exactly what the payment was for. Click the Transaction ID number.
18. Click on the AP Payment Number.
19. Click on the Bill Number.
20. Here you can see the connections from Bill to A/P.
